Changes to District Forms Channel for Employees

In 2011, the "District Forms" channel was used as a replacement for the network shared drives that stored district documents and information at each of the campuses. The channel was used as a central location for district documents and forms which removed the need to synchronize versions of documents located across the three campuses and the district on those network drives.

On June 26, 2013, it was decided by the MyGateway Steering Committee that changes needed to be made with the "District Forms" channel in MyGateway to make it more usable and easier to navigate.

What's New?

First, you'll notice that the channel has been moved off the "Employee" tab and onto it's own tab titled "District Forms".

In order to make the channel more usable, it's been placed on it's own tab. This gives the channel more real estate making it easier to view more information and navigate.

Next, you should notice the up (or down) arrow on the column "NAME". By clicking the "NAME" column you can order directories and files alphabetically in ascending or descending order. This (we hope) helps users find documents quicker than before.

Another new feature is the ability to navigate by using the table view on the right hand side of the channel. In the previous version, users had to navigate through the left side (directory tree). The new version allows users to click on folders in the right side (table view) in order to open the folders. Even more, users can click on a file in the right side (table view) to download that file or they can use the "Download" button next to the file to download as with the prior version of the channel.

If you are an administrator (you can rename, delete, and upload files), we've added the ability to upload multiple files and get feedback on those uploads. In the previous version, you could select a file to upload and it would upload without any user feedback. Users were unsure if the file completed uploading or didn't. Thus, we've added the ability to queue files and get feedback on uploads.

Note, that files are uploaded into the directory that is selected. If you are in the root directory "District Forms" and choose a file to upload, that is the location the file(s) will be placed.

The final modification, you'll notice that there are two more root directories ("Comprehensive Master Plan" and "Risk Management") in the channel.

In the left hand view, we have a directory for "District Forms", "Info" for information, "Comprehensive Master Plan", and "Risk Management" documents. The new directories were added to help find documents much easier.

For now, these are the improvements we've made to the channel and we hope that you'll find them helpful when using the "District Forms" channel. If you have comments, suggestions, or words of wisdom, feel free to contact me at brippe at nocccd.edu. Thanks to all those that gave input! Cheers!
